The Practical Questions to Ask Before Booking Your Wedding Photographer

Choosing your wedding photographer is a big decision, and it's natural to feel a little overwhelmed when you're trying to work out who is right for you. You might spend a lot of time looking through photographs and comparing different photographers, but there are some practical questions worth asking before you book as well.

Do you know how much the booking payment is or what happens if your plans change? Is it clear when you receive your photographs or what happens if your wedding runs later than planned?

These aren't necessarily the most exciting questions to ask, but they're worth understanding because you should know exactly what you're agreeing to before you sign anything.

Here are some of the practical questions I'd recommend asking any wedding photographer you're considering.

Are you available on our wedding date, and can you hold our date?

The first question is an obvious one, but it's worth understanding what happens once you've found a photographer you'd like to work with.

Photographers can't hold dates indefinitely while couples decide, because reserving a date means potentially turning away another booking.

For my wedding photography, the date is secured once the booking paperwork and required payment have been completed.

The important thing is simply to ask how the photographer handles dates so there are no misunderstandings.

Is a deposit required to book?

Ask how much you need to pay to secure the date and when the remaining balance is due.

The booking payment reserves your date and means the photographer can commit that date to you rather than accepting another wedding.

It's also worth asking whether the payment is refundable and what happens if your plans change.

There isn't necessarily one right way for a photographer to structure their payments. The important thing is that you understand the arrangement before you book.

How does the rest of the payment work?

Payment arrangements vary between photographers, so ask when the remaining balance is due and whether there are any additional costs you should know about.

For my wedding photography, the contract sets out what is included, the payment arrangements and the terms of the booking, so everything is clear before the wedding.

It's much better to understand this before booking than to discover later that you and your photographer had different expectations.

What happens if we need to cancel or change our wedding plans?

Nobody books a wedding expecting their plans to change, but circumstances can be unpredictable.

Make sure you understand the photographer's terms around cancellation, postponement and changes to your wedding date. And if there's something in the contract you're unsure about, ask them to explain it.

A contract isn't there to make things complicated. It should make things clear for both you and your photographer.

What happens if our wedding runs later than planned?

Weddings rarely run exactly according to schedule.

You might have speeches that take longer than expected, a ceremony that starts late or simply find that you're having such a good time that the day doesn't quite follow the original timeline.

Ask whether additional coverage is available and how much it costs if you need your photographer to stay longer.

My wedding packages cover a set number of hours, but additional coverage can be arranged if you need it.

Knowing this beforehand means you won't have to worry about it on the day.

When will we receive our wedding photographs?

Every photographer has their own editing and delivery process, so ask what you can realistically expect. It's worth asking this rather than assuming that every photographer works to the same timescale.

I'd also be wary of comparing photographers purely on speed. Getting your photographs quickly isn't necessarily the same as getting them carefully finished.

My usual delivery times are:

• 1–2 weeks for engagements, portraits, headshots and smaller sessions

• 2–4 weeks for weddings and receptions

That gives me time to go through the photographs properly, select the strongest images and edit the final collection consistently.

And what about wedding albums?

If you're interested in an album, ask whether it's included in the package, whether it's optional and how the process works.

It's useful to know what you're actually receiving as part of your photography package before you book, rather than assuming something is included because you've seen it on a photographer's website.

If an album is something you'd like, you can then compare photographers knowing what the process and additional costs are.

What exactly is included in the wedding photography package?

It's easy to focus on the number of hours when comparing wedding photography packages, but that's only one part of what you're booking. Ask what you'll actually receive afterwards.

How many photographs will you receive? Are they fully edited? Will you receive an online gallery? Is an album included? Are there any additional charges for travel or extra coverage?

The more clearly this is explained, the easier it is to compare what different photographers are actually offering.

What happens if something unexpected happens?

This is one of those questions you might not think to ask until something goes wrong.

It's worth knowing what your photographer's arrangements are if they become ill or are unable to photograph your wedding for an unexpected reason.

You don't need to plan for every possible scenario, but understanding how your photographer handles unexpected situations can give you some reassurance before you book.

The purpose of these questions is about knowing what you're paying for, what you've agreed to and what you can expect afterwards.

Once those things are clear, you can spend less time worrying about the practical details and more time thinking about the actual photography and whether the photographer feels like the right fit for you. Because that's important too.

The practical side should be clear, but choosing your photographer isn't just about contracts, payments and delivery times. You also want someone whose approach to photographing weddings makes sense for you and the kind of photographs you want to have afterwards.

Take your time, ask questions, and don't be afraid to ask a photographer to explain something if you're unsure.

The right photographer should be happy to have that conversation.
